Plan Now to Avoid Software Issues in the New Year

Those of us who lived through Y2K professionally (which some of us in ERP sales refer to as the “good ol’ days”) can take comfort in the fact that risk of Y2K12 is relatively low.  That being said, every year we get cases in Support with regards to common issues related to the change of year that can be addressed well in advance.

As we head into the home stretch of 2012, I thought it might be helpful to take this opportunity to remind you of some system considerations to help avoid software issues at the New Year:

  • Create a new Fiscal Year

(General Ledger | Setup | Periods | Periods)

Create the next Fiscal Year for which you will be creating transactions.  This step may have been done previously if the Fiscal Year is not stopped right at Year End.

  • If you are using Inventory Management, run the Consistency Check and Inventory Close process through the end of your fiscal year.

(Basic | Periodic | Consistency check | Inventory management)

(Inventory Management | Periodic | Closing and Adjustment)

The Inventory Close process will take into account the Inventory Valuation selection you have selected on the Inventory Model Group from the Weighted Average Method that is used during the month.

  • Print 1099s for any Vendor that requires a 1099 statement.

(General Ledger | Periodic | Tax 1099 | Report 1099)

For any Vendor that requires a 1099 statement, please be sure to set up the 1099 forms as well as the Vendor.  Please note that 1099 reports can be reprinted.

  • Set Up Working Times

(Basic | Calendar | Working Times)

If you are using the Production module, you need to have working times defined for the new year to be able to run planning, even if you are not using capacity management.

These few, simple steps should ensure an easy and pain-free transition into 2013.  If you do have any Y2K13 glitches, give us a call and we’ll set you up for another successful year with Junction Solutions and Microsoft Dynamics AX.
